Cultivating Our Community: Essential Requirements

Welcome to the Willow + Stone Market Co. family! We are thrilled to have you join our curated community of talented makers and farmers. To ensure a seamless market experience and a beautiful, cohesive atmosphere that meets both our high standards and legal requirements, we ask all vendors to confirm the following information.

Maintaining a transparent and professional environment protects all of us.

1. Liability & Insurance Coverage

Safety and security are paramount in our space at Eastman Park. Every vendor is responsible for protecting their own business and property.

Vendor Responsibility Vendors are required to obtain and maintain whatever insurance coverage is necessary to operate their specific business. Willow + Stone Market Co. assumes no liability for your booth, products, or personal property.

2. Licenses & Permits (Idaho)

Operating a business means respecting local regulations. You are responsible for obtaining all necessary business licenses and permits.

Idaho Vendors All vendors selling taxable goods must have an Idaho Seller’s Permit. We will provide you with our Market’s Event ID. You are required to register online with the state using our ID number before market day and post your confirmation in your booth.

    If you apply and are approved, you will lock in this same pricing for the 2027 market season! It is our way of saying thank you for supporting a new market and giving back to our community.

    Due to the venue’s location and discussions with the City of Buhl, we’ve confirmed that the electrical infrastructure at the park is not sufficient to support vendor power needs. Because of this, all vendors are required to bring their own power sources for the duration of the market.

    Vendor Agreement & Liability Waiver

    Please review the full agreement below. You must read to the bottom to accept.

    WILLOW+STONE FARMERS & ARTISAN MARKET | VENDOR AGREEMENT

    This agreement is by and between Willow+Stone Market Co, LLC (further called “W+S”) and the Vendor submitting this application.

    1. Location and Date

    Event Location: Eastman Park, Buhl, ID 83316

    Market Date: September 18th | Hours: 3:00 PM – 8:00 PM

    Rain or Shine Policy: W+S operates on a strictly “Rain or Shine” policy. Failure to show at the market will result in the automatic loss of space assignment and forfeiture of all deposits and fees.

    2. Set Up & Tear Down Operations

    Arrival: Vendor agrees to arrive at an assigned time. Vendor must be booth-ready one hour before the event begins.

    Late Arrival: Arriving outside assigned check-in times may result in a delayed check-in and loss of unloading access.

    Tear Down: Vendors may not break down prior to the close of the market unless approved. Booths MUST be packed and clear of children before vehicles enter booth areas.

    Load Out: Must be completed within a reasonable time once the market closes.

    3. Vendor Operations

    Cleanliness: Vendor is responsible for cleaning their area completely and removing all trash. Dumpsters at the park may not be used for large item disposal.

    Booth Standards:White tents are the market standard to maintain our aesthetic. If you are unable to provide a white tent, please discuss this with us prior to the event. We strive to work with our vendors, but please note that tent colors clashing with the overall aesthetic may not be approved. Tables must be covered with linens to conceal packing materials.

    Signage: Cannot be placed outside the booth footprint.

    Conduct: No alcohol, smoking, illegal substances, or weapons allowed.

    Child Supervision: Any child (under 18) must remain with the vendor and be supervised at all times.

    4. Parking & Vehicles

    Designated Parking: Vendor agrees to park in designated vendor areas only.

    Violations: W+S reserves the right to tow a vendor vehicle (at vendor’s expense) that is parked in an un-designated area or blocking operations.

    5. Utilities & Safety

    Propane/Open Flame: NO open flame allowed in tents unless compliant with Buhl Fire Dept/IFC codes.

    Electricity: Not guaranteed. Vendors must provide own 100 ft. 12-gauge cord and surge protector.

    Internet: WiFi is NOT provided. Please prepare to use cellular data.

    6. Required Vendor Participation

    To assist in promoting the event and our community, Vendor agrees to the following:

    VIP/Goodie Bags: Vendor agrees to provide a small sample item OR a physical coupon/exclusive offer (provided by vendor) to be distributed to the first 20 customers via goodie bags. Note: Standalone business cards or flyers are not accepted unless attached to a physical item.

    Social Media: Vendor agrees to share at least one (1) social media post announcing their participation prior to the event (tagging @willowandstone).

    7. Assignment of Contract

    Placement: W+S makes final decisions on placement.

    Subleasing: Vendors may not transfer or sublease booth space without approval.

    8. Regulatory Requirement (Idaho Compliance)

    Permits & Insurance: Vendor is responsible for all permits, licenses, and insurance required for their business. W+S is not responsible for obtaining these.

    Sales Tax: Vendor is solely responsible for assessing and remitting Idaho State Sales Tax.

    Form ST-101: A valid Idaho Seller’s Permit is required and must be posted in the booth.

    9. Liability & Indemnification

    Responsibility: Vendor is solely responsible for damages or liabilities resulting from private dealings with customers.

    Release: Vendor agrees to indemnify, hold harmless, and release Willow+Stone Market Co., its employees, and Eastman Park/City of Buhl from all bodily injuries, property damage, claims, and liabilities.

    Property: W+S assumes no responsibility day or night for the safety of Vendor’s property.

    10. Compliance & Legal Remedies

    Appropriate Items: W+S reserves the right to require removal of inappropriate items.

    Promotional Material: We operate on an honor system. Please ask W+S for approval before distributing materials for other events. If permission is denied and you continue to distribute, you may be required to leave and barred from future events.

    IP Rights: Vendor shall not sell any item that infringes on copyrights, trademarks, or patents.

    Breach: Vendor may be liable for damages and attorney’s fees for breach of contract.

    11. Qualifying Products & Warranty

    Strictly Prohibited: NO MLM/Direct Sales. NO Resale (Buy-Sell). NO Non-Profits (unless invited). NO Political Affiliations.

    Warranty: Vendor warrants goods are as represented. If not, Vendor shall refund the full sales price.

    Non-Compliance Fee: Failure to remove non-compliant goods may result in a $100.00 fee.

    12. Food Vendor Requirements

    Insurance (Mandatory): All food vendors are REQUIRED to maintain liability insurance.

    Health Dept: Must adhere to SCPHD regulations and City of Buhl ordinances.

    Generators: Must provide backup generator(s).

    Ground Protection: Food Vendors must place oil-absorbing mats or tarps under all frying equipment, grills, and generators to protect the venue ground. Vendor is liable for any stain cleaning costs.

    13. Payment & Cancellation


    Payment Method: An invoice for online payment will be sent via email upon application acceptance.

    Late Fees: A $40.00 late fee applies if payment is not made by the deadline.

    Refund Policy: All payments are final, non-refundable, and non-transferable.

    14. Photo Release

    I authorize W+S to use photographs/video of my booth for promotional purposes without compensation.

    15. Contract Acceptance & Staffing

    Background Check: Vendor agrees all staff have undergone background investigation and pose no risk. Individuals hired online without vetting are prohibited.

    Binding: This contract becomes binding upon acceptance by W+S.
